Responsibilities

  • The Administrative Assistant will be required to perform a variety of administrative and human resource tasks
  • The Administrative Assistant will also provide support to line managers and ensure the efficient and smooth day-to-day operation of the office or company
  •  Making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems
  •  Screening and directing phone calls
  •  Organizing and scheduling appointments
  • With the consultation of Managing Partners planning meetings and take detailed minutes
  • Manage company awareness campaigns on Social Media ( mostly Facebook & Twitter)
  • Assist line managers handle HR matters ( Screening of applications and preparing interview reports)
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Liaise with the Administration Manager to handle requests and queries from Line Managers

Qualifications

  • Sound interpersonal skills
  • Excellent telephone etiquette
  • Excellent time management skills and the ability to prioritize work
  •  Attention to detail and problem solving skills
  •  Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • A team player
  • Diploma in Human Resource Management and Business Administration or Public Administration or equivalent
  • A Degree in any of the above named fields will be an added advantage
  • Must have reasonable experience in HR (focusing on Recruitment, Training and Development)
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and scanning machines
  • Proficiency in MS Office (Word, Excel and PowerPoint, in particular)
  • Must be young, energetic and flexible
  • Must be conversant with social sites like Facebook, Twitter and Instagram
