The Grant Accountant will provide active and personalised support to the projects and programmes. Works closely with Project Managers and Sub-grantee Finance staff to ensure that efficient accounting and finance systems exist that will accord maximum support to the project managers as well as act as a platform for providing sound financial information to management and donors. Be a key resource person to Project Managers, Sub-grantee Finance & Admin staff, Finance Manager and management.
Summary of Key Duties and Responsibilities:
Financial Operations and Donor Reporting;
Ensures implementation of sound financial and accounting controls.
Works closely with Project Managers and Sub-grantee F&A staff to ensure timely submission of monthly accounts to the Lusaka office for consolidations and preparation of donor reports.
Reviews and analyses the imprest retirements from the projects and make necessary adjustments before inputting to Oracle
Preparing timely monthly financial reports for Projects Managers & Finance Manager.
Reconciles all Project advances/imprest accounts and provides timely advice on actions necessary to Project Management, Sub-grantees and Finance Manager.
Develop and maintain a system of monitoring and reconciling all imprests issued from the Zambia Country Office.
Timely preparation and posting of journals in Oracle.
Review Sub-grantee budgets for appropriateness and accuracy.
Ensure timely and accurate cost recovery from projects. This should be implemented in accordance with the organizations Network Cost Recovery Standards.
In close liaison with the Finance Manager, organise and direct project audits. Ensure that audits are properly organised and that there is proper and timely follow-up of audit recommendations.
Provide backup accounting support to the field offices.
Strategic Planning and Implementation;
Assist the Finance Manager and management with the development and implementation of the country strategic plan.
The areas of support include the provision of up-to-date financial data as well as the status of project funding.
Regularly advise the Finance Manager and the Senior Management team on emerging strategic issues in the as they relate to Finance and Administration.
Make regular projects financial review visits to ensure that adequate financial systems and procedures are in place and are being implemented.
Provides support and training to users of the financial database. This may entail visiting field or country offices.
Regularly provide the Finance Manager with financial data for financial analysis.
Any other duties that may be assigned from time to time by the Finance Manager, the Management Team.
Skills and Competencies
Exceptionally strong analytical skills with ability to set priorities, complete work with minimal supervision, and meet deadlines.
Advanced PC skills, particularly knowledge of MS Excel software.
Knowledge of staff supervision and general administration/operations
Good understanding of the key principles and practices including knowledge of the relevant employment legislation in Zambia is desirable.
Strong communication and interpersonal skills, with fluency (spoken and written) in English.
Ability to promote team synergy in a multi-cultural work environment.
Qualifications and Experience
Degree in Accounting, Finance, Commerce, Business Administration or related field; OR
Full Proffesional qualification i.e. ACCA, CIMA or equivalent.
Over 5 years working experience preferably in a major international organisation/NGO.
Demonstrable skills in the development and implementation of finance and accounting policies, procedures and systems in the context of an international NGO.
Good knowledge of project fund accounting including reporting requirements of major bi-lateral Aid Agencies.
Hands-on knowledge of Oracle accounting software would be an advantage.
