Finance and Administration Manager (Construction) X1

Job Purpose

The Finance and Administration Manager will be responsible for providing financial guidance and support to Management. As a key member of the management team the Finance and Admin Manager will also ensure the smooth and efficient functioning of the organization’s operational systems, ensure that organizational processes are efficient and effective and guarantees proper management of overall finance and administration matters.

Summary of Key Responsibilities

• Monitor day to day financial operations of the company such payroll, submission and payment of statutory obligations, and other financial transactions;

• Provide an accurate and timely financial service including setting and monitoring of budgets, forecasts, cash flow analysis, management and financial accounts and advice and support to inform decision making at all levels

• Manage budgets against actual income by controlling income, cash flow and expenditure;

• Track the financial status and performance of the company to identify areas of potential improvement;

• Carrying business modelling and risk assessments to aid with short and long term decision making;

• Develop financial management mechanisms that minimize financial risks;

• Conduct business reviews and evaluations to advise on cost reduction opportunities;

• Develop written accounting procedures for all staff and work with the various teams (site and head office) to ensure proper compliance;

• Develop and maintain relationships with key partners including banks, regulatory and statuary bodies

• Conduct regular site audits to support management of costs, audit of policies and procedural compliance, stock taking and verifications wage bill records.

• To oversee inventory and Asset management both for Project sites and Head office;

• Formulate a procurement procedure and ensure adherence to it by staff;

• Oversee IT requirements of the office mainly internet and telecoms services;

• Supervise the Accountant and Administrator;

Skills and Competencies:

● Good Leadership Skills

● Ability to communicate complex financial data and information to managers with non-financial expertise

● Ability to accurately work under pressure in meeting deadlines;

● Must be flexible and able to work well in a fast-paced environment. He or she should be competent in handling simultaneously occurring tasks;

● Ability to motivate, coach and mentor team members;

● Willingness to share knowledge, experience, Ideas and expertise.

Qualifications and Experience:

• Full or Finalist of ACCA/CIMA/ZICA(CA Zambia)

• A Degree in Finance or Accounting will be plus

• Must have worked for a CONSTRUCTION FIRM in the same or similar capacity for a least 2-3 years (THIS IS A MUST)

• At least 5 - 7 years' practical experience in a similar position;

• Must have considerable knowledge of basic accounting principles and accounting functions;

• Must be very conversant with statutory accounting requirements;

• Must be proficient in using accounting packages (Pastel, ERP & Quick Books)

• Must be a member of ZICA
