Grants Officer, PAMO

PATH seeks to recruit a Grants Officer for the Program for the Advancement of Malaria Outcomes (PAMO). The Grants Officer will be responsible for the administration of Grants-Under-Contract in support of the Grants and Operations Manager, assist with the preparation of required progress and final reports, including compiling necessary information, drafting written reports and submitting all reports in a timely manner, coordinate logistics for PAMO’s in-office meetings and community events including scheduling, workshops, trainings, venue arrangements, set-up, equipment needs, refreshments, materials and invitation process.


• Participate in carrying out risk assessment of Community based organizations (CBO) to be contracted as sub-grantees.

• Review budgets submitted by CBOs/sub-grantees.

• Support the Grants and Operations Manager with contracting the CBOs.

• Support the Grants and Operations Manager to monitor the CBOs.

• Review Financial reports received from CBOs Participate in the preparation of the Project activity budget.

• Assist Grants and Operations Manager (GOM) in implementing and maintaining the policies and procedures.

• Ensure that partners are in compliance with local laws, and PATH policies as well as USAID requirements.

• Review monthly invoices, summary financial reports and other reports required by USAID or according to USAID requirements and needs.

• Ensure that CBOs comply with contractual deliverables and time lines and follow up on any delayed in reporting.

• Work closely with partners to ensure the timely, accurate reimbursements of project expenses in accordance with PATH policy and approved budget.

• Ensure that the expenses charged are reasonable, allocable and allowable.

• Perform periodic checks on partner systems, especially in accounting and reporting of resources provided through PAMO. This includes ensuring that partners are in compliance with local accounting laws, USAID/ PAMO Agreements.

• Assist the (GOM) with close out of the Grants Under Contracts (GUC).

Miscellaneous Administrative Support

• Perform any other tasks as assigned by supervisor.

Required Skills

• Bachelor’s Degree in accounting, ACCA II, CIMA II, ZICA or equivalent.

• Must be current registered member of ZICA.

• Two years minimum experience in managing USAID sub-grants.

• Ability to establish and maintain effective working relationships with program and other staff.

• Knowledge of USAID contracts and grants management requirements.

• Must have legal authorization to work in Zambia.

• Excellent computer skills using MS Word, Excel, and Outlook.

• Excellent verbal and written communications skills to include conflict resolution, priority management and managing expectations of multiple clients.

• Highly organized, flexible, and adaptable to changing priorities and ability to work well under deadlines.

• Ability to work under minimum supervision.

• Ability to work within a team.

• Ability to communicate with District staff, Health facility staff and CHWs.

• Ability to travel domestically up to 50%.

• Excellent public speaking and presentation skills experience facilitating training’s highly desired.

• Must have legal authorization to work in Zambia
