Personal Assistant to the Executive Director

Zambia YMCA An international Christian organisation and one of the largest and oldest youth movements in the world seeks the services of a:

Personal Assistant to The Executive Director

As an experienced Personal Assistant, the incumbent will ensure that the Executive Director has excellent administrative support, enabling him/ her to focus on high-level management issues. You will be an excellent organiser and communicator with a proactive and friendly attitude. You will have the multitasking ability and flexibility to work in this dynamic and ever-evolving environment, and will work well under pressure to meet tight deadlines.

Responsibilities:

  • Answer and screen telephone calls as well as receive and relay messages;
  • Coordinate scheduling of meetings and appointments;
  • Perform function of marketing intermediary when called upon to do so;
  • Organising correspondence and following up on pending matters with limited supervision/ direction;
  • Organising and preparing documents, preparation of meeting and board minutes;
  • Coordinating and booking travel arrangements;
  • Assisting with organising events.

Qualifications and Experience:

  • A minimum of a Degree in Business Studies or Marketing with at least 5 years working experience in a similar field.
  • Knowledge and expertise in public relations management, funding processes and procedures and an in-depth knowledge and understanding of the requirements of local and international funding bodies will be an added advantage.

Skills and abilities:

  • Exceptional computer literacy (internet, MS Office (e.g., PowerPoint, Access, Excel, etc.), highly developed organizational skills and initiative, maturity to handle a range of situations coupled with a meticulous and thorough nature is essential.
  • You must possess the ability to work towards tight deadlines at the same time having outstanding verbal and written communication skills.
  • Loyalty and a high level of confidentiality are key in this position.
