Executive Assistant

This role reports directly to the Chief Executive Officer.

  • The overall objective of the Executive Assistant is to provide professional administrative support, assist the Chief Executive Officer to make the best use of his/her time by effectively and efficiently dealing with secretarial and administrative tasks. Discretion and confidentiality are essential attributes for the successful EA to possess

Key Performance Areas (KPAS)

Secretarial and Administrative Duties

  • Screening telephone calls, enquiries and requests and handling them in a professional and appropriate manner
  • Organize and maintain diaries
  • Responsible for making appointments
  • Dealing with incoming e-mail, faxes and post effectively
  • Dealing with correspondence and writing letters
  • Producing documents, briefing papers, reports and presentations
  • Organize meetings for the Chief Executive Officer
  • When required, attend meetings to take concise minutes
  • Organizing corporate presentations, networking opportunities, social gatherings and similar events Ensure that Chief Executive Officer is well prepared for all meetings
  • Liaise with internal and external clients, suppliers, fellow colleagues and other stakeholders of the Company
  • Devise and maintain office systems to deal efficiently with paper flow
  • Efficient organizing and storing of paperwork, documents and computer-based information
  • Responsible for detailed travel and accommodation arrangements for Chief Executive Officer and documenting and managing itineraries

2. Customer Focus

  • Responsible for providing professional customer service through handling enquiries and or complaints in a professional manner
  • Welcome visitors warmly and professionally and look after them

3. Other duties

  • Must be willing to perform any other reasonable and lawful duties as assigned by management

  • At least 5 – 8 years secretarial and office administration experience
  • Extensive knowledge of internal and external key customers
  • Excellent and professional planning & organizing skills
  • Computer literacy essential (Word, Excel and PowerPoint)
  • Shorthand and audio typing will be beneficial
  • Excellent written and oral communication skills
  • Budgeting and planning skills
  • Excellent interpersonal relationship skills


  • Grade 12
  • A National Diploma / Degree in Secretarial and Office Administration Studies
