Administrative Assistant

The Administrative Assistant provides back office support to ensure the efficiency and smooth running of the PEPZ office.

Reception duties:

  • Answer the telephone and take messages or refer callers to others
  • Receive and act as first point of contact for visitors.
  • Manage correspondence and respond to general information requests

Organisational Support:

  • Plan Senior Management Team meeting and take and disseminate minutes
  • Act as Personal Assistant to Team Leader and Deputy Team leader
  • Make hotel and flight reservations, airport transfers, and arrange local transport.
  • Manage photocopying, printing and document binding
  • Arrange and book external meeting venues.

Office Management:

  • Manage the maintenance of office equipment
  • Order office supplies manage stock levels and research new deals and suppliers.
  • Manage drivers’ schedules and allocation of vehicles
  • Manage project petty cash float
  • Manage cleaning and maintenance staff to ensure that the office is kept clean and safe.

Qualifications and Experience:

  • Diploma in Business Administration or any business-related course. A Degree will be an added advantage;
  • At least 3 years’ experience of Administrative work in a similar position;
  • Must be proficient in Microsoft office, Excel, Word and Power point are a MUST;
  • Proven track record of progressive administrative work.
  • Excellent planning and organising skills
