iBrand Media Ltd is a fast growing Branding Solutions company. Our services include; large format printing, Digital Marketing, Installation of Billboards, Graphics Designing, Website Designing and Development. We also offer services in T-shirt printing, embroidery and screen print among others. iBrand Media Limited believes in innovation with precision.

Due to the growing demands of the company, we are in need of interns to work in the capacity of Administrative Assistant and a Graphics Designer. The internship will be for a period of 6 months with a monthly allowance. Based on satisfactory performance by the interns, a long term contract may be awarded.

Job Description

Responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field’s concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. May also carry out bank deposits and withdrawals as well as book keeping. Typically reports to the Director of Operations.

Responsibilities:

  • Answer and direct phone calls
  • Organize and schedule meetings and appointments
  • Maintain contact lists
  • Produce and distribute correspondence memos, letters, emails and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Order office supplies
  • Book travel arrangements for staff
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Provide information by answering questions and requests
  • Prepare and monitor invoices
  • Cover the reception desk when required
  • Reply to email, telephone or face to face enquiries
  • Take accurate minutes during weekly staff meetings

Requirements:

  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Excel and Outlook
  • Telephone Skills

  • Discretion and Judgment
  • Patience
  • Full grade 12 Certificate, diploma or an equivalent; Business management, Accounts, Marketing, Public Relations or any related field
