Accountant

Role Summary

The accountant shall ensure that all matters relating to accounts receivable are handled in a timely manner as the first liaison officer with debtors. the accountant shall also ensure that all payment documents are complete and authorised before processing.

The Accountant shall perform the duties below in contribution to the overall objective of the Accounts department on working capital management as well as management and financial reporting.

Responsibilities

Debt Management:

  • Expedite all outstanding payments on customer accounts.
  • Liaise with the Chief Accountant to ensure that the monthly late payment fee is processed on all overdue accounts.
  • Ensure that all queries to do with customer accounts are resolved when they arise.
  • Review all queries reported by the cashier and establish legitimacy and report to the Chief Accountant.
  • Process, with proper justification, all customer related queries and seek approval for all adjustments.
  • Provide a weekly update (report) on the collections, outstanding debtors and payment agreements and a narrative report on the actions undertaken to recover the balances.
  • Liaise with the Accountant and/or Chief Accountant on all material customer queries to facilitate timely resolution of such matters.
  • Report on all stakeholders whose balances are overdue and are not supposed to be in given a service to the Chief Accountant a week after the operations period opens for a new term.
  • Ensure the reversal of payment discounts (corporate discounts) where the terms of such discounts have not been complied with.
  • Validate all customer accounts on corporate discount under particular organisations to ensure that only legitimate stakeholders benefit from the scheme. This validation shall be done a month prior to invoicing for the forthcoming billing term.

Financial Accounting:

  • Ensure that all payment vouchers have complete and necessary documentation before they are submitted for authorisation.
  • Confirm that all payment vouchers are authorised before payment can be processed.
  • Provide guidance and participate in the review of payment systems and controls to safeguard company financial resources and ensure prudent use of finances.
  • Maintain, reconcile and update supplier accounts and records to ensure completeness in the processing of supplier payments and ultimately overall credit management.
  • Post all deposits on a daily basis in Pastel and present to Chief Accountant for review and updating in the Pastel.
  • Reconcile on a monthly basis outstanding debtor balances in billing system to the General Ledger.
  • Preparation of Preliminary Audit Files as supervised by the Chief Accountant.
  • Posting and Updating Fixed Assets Register. This task involves management of the Fixed Assets Register to ensure that all additions, deletions and depreciation are carried out on a monthly basis and the Fixed Assets Register reconciled to the General Ledger.
  • Process monthly depreciation JVs in Pastel.
  • Initiate the physical verification of assets twice per annum, that is, mid-year and just before year end.

Database and Management Information Systems:

  • Ensure that all Clients are captured in the database and correct information is assigned
  • Report to the Chief Accountant any improvements desired to ensure effectiveness and efficiency in debtor management

Tactical:

  • Carry out all logistics for various accounting activities – capital or routine – arising in the Accounts Department to ensure they are done professionally and within set deadlines.
  • Ensure that all accounting records are timely updated and that back logs are minimised at all cost.

Other Duties:

  • Undertake Bank reconciliation for specific company accounts as instructed from time to time.
  • Make yourself available to undertake company activities including trips, functions and other similar activities, when assigned
  • Other duties may be assigned to the Senior accountant as need arises.

Educational and Competency Requirements

  • Qualified Accountant with ZICA Licentiate, CIMA or ACCA.
  • Minimum of 2 years’ experience in similar capacity.
  • Must be a registered member of ZICA.
  • Experience with educational institutions and private sector operations.
  • Strong and demonstrable management skills.
  • Ability to work across the organisation in all business segments.
  • Very strong organisational and communication skills.
  • Ability to work under pressure.
