Finance and Administration Officer

Scope of work

  • Oversee and manage daily program-wide accounting and finance functions including timely recording of transactions, cash management, banking, payroll, inventory, receivables, and payables.
  • Plan and implement systems for financial operations for the project in accordance with the Avencion Finance Manual and Client regulations; including systems for cash flow management, budgeting, consolidation of accounting information, internal controls, financial reporting, financial record-keeping, grant management and compliance.
  • Maintain banking relations and plan and monitor project cash flow requirements to ensure the smooth implementation of Avencion project.
  • Prepare monthly financial reports in line with standard accounting submissions for the project, for review by the Finance manager, including general ledger files, account reconciliations, expenditures by cost centre/project, as well as other financial information in a timely and accurate manner.
  • Ensure stipends for the interns are paid on a monthly basis, funds are available for facility engagement such as orientations, trainings etc
  • Enter transactions in quickbooks and use it to prepare monthly management reports to the Finance Director, Project Director and Program manager as required, including expenditures by cost centre/project and other financial information, in a timely and accurate manner.
  • Assist in developing annual fiscal year budgets for Avencion
  • Continuously stay abreast with Client policies, procedures, rules and regulations; compile and update applicable local policies; train Avencion staff in these policies.
  • Ensure all the procurement process are followed in line with Avencion procurement policy and procedures as well as the being adherent to the client/funder procurement regulations
  • Conduct yourself both professionally and personally in such a manner as to bring credit to Avencion and to not jeopardize its humanitarian mission.
  • Human resource management of the Avencion project team
  • Other duties as assigned for logistics and administrative work.

Minimum skills

  • Proven work experience as a Finance Officer or similar role
  • Solid knowledge of financial and accounting procedures
  • Experience using financial software
  • Advanced MS Excel skills
  • Knowledge of financial regulations
  • Excellent analytical and numerical skills
  • Sharp time management skills
  • Strong ethics, with an ability to manage confidential data
  • Diploma in Finance, Accounting or Economics; Degree will be an added advantage
  • Professional qualification such as ZICA licenciate, ACCA 1, CIMA 1 and other relevant professional qualifications
